1. Data controller
Responsible party is Jörg Ammersken, Daba iela 19 A–32, Talsi, LV-3201, Latvia. Email: info@fiplos.com.
After the operation is taken over by a newly formed company, these details will be updated.
2. Processed data
Especially processed are registration and contact data, login data, language settings, technical connection and protocol data as well as voluntarily provided documents, files, images, emails, texts, voice inputs, questions and work content.
The provided contents may contain personal data and special categories of personal data. Users themselves determine which contents they provide to FIPLOS.
3. Purposes and legal bases
Processing is carried out to provide and secure the website, to manage user accounts, to store, search and analyze shared content, to respond to inquiries and to detect errors.
Legal bases include in particular the performance of a contract and pre-contractual measures, legal obligations, legitimate interests in secure operation, and consent insofar as it is obtained in individual cases.
4. Responsibility for provided content
Users may only provide data and content that they are legally permitted to process and to use for FIPLOS. Contents are processed exclusively for the selected functions and according to the user's instructions.
5. Hosting at IONOS
The technical infrastructure is operated by IONOS. In this context, user, content, database, connection and protocol data may be processed on the systems used.
IONOS is used for hosting, server infrastructure, network operation, storage and technical backup.
6. AI Processing by Anthropic
For AI-powered features, requests and the content excerpts required for this purpose may be transmitted to Anthropic via an application programming interface.
Under Anthropic's applicable commercial terms of service, content transmitted via the application programming interface is not used for training AI models.
Only data required for the respective function is transmitted. The applicable contract for the FIPLOS account, the data protection terms, and the selected API configuration are decisive.
Voice input is converted to text exclusively on FIPLOS servers and is not transmitted to third parties.
A portion of requests is answered by an AI model operated locally on FIPLOS servers. In this case, the content does not leave the FIPLOS servers.
7. Recipients and international transfers
Data are only received by engaged service providers insofar as this is necessary for hosting, security, technical processing or AI functions. No disclosure is made for FIPLOS's own advertising purposes.
FIPLOS servers are operated at IONOS in the European Union. For AI functions, transmission to Anthropic in the USA may occur.
To the extent that processing occurs outside the European Economic Area, this is done only on the basis of appropriate safeguards under Articles 44 et seq. GDPR, in particular the Standard Contractual Clauses of the European Commission, as well as supplementary protective measures.
8. Retention period and deletion
Data are only stored for as long as is necessary for the respective purpose, the performance of the contract, security or legal obligations.
Users can delete their own contents and their account, provided there are no legal or compelling security-related reasons to the contrary. Technical backups may persist for a limited period.
9. Cookies
FIPLOS uses technically necessary cookies or comparable storage techniques for login, session security and language settings.
Advertising or tracking cookies are used only after separate introduction and the required consent.
10. Rights
Data subjects have, under the legal conditions, rights to access, rectification, erasure, restriction, data portability and objection.
Inquiries can be directed to info@fiplos.com. There is also a right to lodge a complaint with the Latvian data protection authority Datu valsts inspekcija or another competent supervisory authority.
11. Security and AI outputs
FIPLOS uses appropriate technical and organizational safeguards. AI outputs support the user but do not make exclusively automated decisions with legal or similarly significant effects.
